Maintenance Request
As a part of maintaining the property, you agree to maintain the dwelling unit in a clean, sanitary, and safe condition, utilizing all electrical, plumbing, heating, and appliance systems in a reasonable and proper manner. You are explicitly responsible for basic day-to-day upkeep, which includes testing and maintaining smoke and carbon monoxide alarms every six months, replacing light bulbs, keeping plumbing fixtures clean, and disposing of all rubbish, garbage, and waste into designated exterior receptacles. Please refer to Tenant Handbook or your lease agreement for more details regarding your responsibilities.
Do you want to request maintenance? When you submit a work order or maintenance request, please send the request via email (preferred) or text. As we need to keep records, maintenance requests via phone call is NOT preferred. We will be working with a app based tenant portal for paying rent, submitting maintenance request etc., but it's not ready yet. Till then, please send maintenance request via text or email. If you don't hear from us within 24-48hrs, please do not hesitate to give us a call. Please let us know the following when you are requesting a maintenance:
1) Problem statement: Please be clear what is the problem, where is the issue. How is it affecting you? 2) Evidence: Please share video and photos of the problem. That will help us understand the situation and act accordingly. 3) Access: Please let us know if we can go to the property even if you are not there. Generally we have the right to go in if you have requested a maintenance (please refer to tenant handbook or your lease for details).
Depending on the maintenance we will decide who will be responsible for the cost to repair or replace. We do NOT encourage you to attempt any repair as it may cause more damage, jeopardize the habitability and may cause severe property damage. Also, we will not reimburse you and you will be responsible for any damage it causes or will cause. Other than normal wear and tear, we expect you to keep the property same as you received. Please do NOT attempt to do the move-out/carpet cleaning as we will use professional cleaners for the cleaning and charge you as you will receive the property professionally cleaned and shampooed.
Emergency Maintenance Request
The lease agreement defines an emergency maintenance situation as any sudden, unexpected property defect or system failure that poses an immediate threat to life, safety, or severe property damage. Eligible emergencies include, but are not limited to, active flooding or major plumbing bursts, a total loss of heat during freezing winter weather, a gas leak, sparks from electrical fixtures, an un-closable or un-lockable exterior door or window on the ground floor, or structural collapses. The tenant/you acknowledge that routine inconveniences—such as a single clogged toilet when a second functioning toilet is available, a slow drain, a broken appliance, lock yourself out or a minor cosmetic drip—do not constitute maintenance emergencies. For any situation involving active fire, natural gas odors, or immediate physical danger, the tenant/you are instructed to call 911 immediately before contacting the property management company's emergency response team.
24-Hour Emergency Contact and Tenant Reporting Obligations: We maintain a 24-hour emergency maintenance hotline at +19714279756 to the tenant 365 days a year during business hours as well as during after-hours and weekends. The tenant/you are under a strict, material obligation to immediately report any identified maintenance emergency to this emergency service without delay. Upon discovering an emergency, such as an active water leak, the tenant must take reasonable, safe, and immediate actions to mitigate escalating damage, which includes utilizing the property's main or localized water shut-off valves where accessible. Failure by the tenant to promptly report a known maintenance emergency constitutes a material breach of the rental agreement. Under these circumstances, the tenant may be held fully liable for all resulting structural remediation, restoration, or secondary property damage that could have been prevented by a timely notification
What do we do after your request?
After you let us know, we will call you to schedule an appointment at the property so that we can come and evaluate the problem statement better and may be even fix it depending on the issue. If the problem is too complicated or it requires expertise, we will contact appropriate vendors depending on the problem statement. We work with professional, bonded, and insured vendors to ensure that every repair is safe and comply with city/state codes. Then our vendors will contact you directly to schedule an appointment. It is your responsibility to give them proper access so that he can do the job effectively. If you haven’t heard from anyone after you emailed us about the issue within 24-48 business hours, please call or text us to help coordinate the scheduling. Your written maintenance request allows us to enter without further notice until the repairs are completed, though this authorization expires automatically after 7 days (unless the work is in progress and reasonable effort is being made to finish it). After we schedule, please ensure that you are present, allow us to come in and secure any pet. No matter how friendly the pet is, we encourage you to restrain them as any accident by the pet will make you liable for any consequences. Our vendors and we are not responsible if they get loose. We will not enter if we see any loose pet and that will cause delay for your maintenance for which you are held liable.
